Use Oscelo. Oscelo is a clinical education platform for health-professions students and instructors. Students practice patient interviewing and clinical reasoning through simulated encounters with AI-generated, fictional patient personas and receive feedback on their performance. Instructors author simulated patient cases, build grading rubrics, and review student work. Oscelo is an educational simulation tool only: all patient personas and medical data on the platform are fictional. The Service is not intended to collect, store, or process real patient health information, and must not be used in the care of real patients.

Personal Information Provided by You. The personal information that we collect depends on the context of your interactions with us and the Services, the choices you make, and the products and features you use. The personal information we collect may include the following:
names
email addresses
passwords
platform role (student or instructor)
chat messages
voice recordings of patient encounters
educational activity and coursework
photos, documents, and other files you upload
Payment Data. If you buy a paid plan, Stripe collects your card details directly; we never see or store them. We give Stripe your name and email address, and we receive your Stripe customer ID, your plan, and your subscription status. You can read Stripe's privacy notice at https://stripe.com/privacy.
All personal information that you provide to us must be true, complete, and accurate, and you must notify us of any changes to such personal information.
Information automatically collected
In Short: Some information, such as your Internet Protocol (IP) address and/or browser and device characteristics, is collected automatically when you visit our Services.
We automatically collect certain technical information when you visit, use, or navigate the Services. This information is needed to maintain the security and operation of our Services.
Like many businesses, we also collect information through cookies and similar technologies. You can find out more about this in the section "DO WE USE COOKIES AND OTHER TRACKING TECHNOLOGIES?" below.
The information we collect includes:
- Log Data. Google Cloud, which hosts the Services, records your IP address, browser type, and the time of each request. Our own logs record your account ID and the actions you take in the Services, such as starting an encounter or submitting an attempt. We do not collect your device's location.
Information collected from other sources
In Short: We may receive limited information about you from educational institutions and instructors.
We may receive personal information about you from educational institutions and instructors: for example, when an institution or instructor registers students for a course, provides a class roster, or invites students by email. This information is limited to names, email addresses, institutional role, and class enrollment details, and is used solely to provision accounts and course access.
If you sign in with Google, Google shares your name, email address, and profile photo with us.
2. HOW DO WE PROCESS YOUR INFORMATION?
In Short: We process your information to provide, improve, and administer our Services, communicate with you, for security and fraud prevention, and to comply with law. We may also process your information for other purposes with your consent.
We process your personal information for a variety of reasons, depending on how you interact with our Services, including:
To facilitate account creation and authentication and otherwise manage user accounts. We may process your information so you can create and log in to your account, as well as keep your account in working order.
To deliver and facilitate delivery of services to the user. We may process your information to provide you with the requested service.
To respond to user inquiries/offer support to users. We may process your information to respond to your inquiries and solve any potential issues you might have with the requested service.
To send administrative information to you. We may process your information to send you details about our products and services, changes to our terms and policies, and other similar information.

To protect our Services. We may process your information as part of our efforts to keep our Services safe and secure, including fraud monitoring and prevention.
To evaluate and improve our Services and your experience. We may process your information when we believe it is necessary to identify usage trends and to evaluate and improve our Services and your experience. We never use student education records for marketing or advertising.
To identify usage trends. We may process information about how you use our Services to better understand how they are being used so we can improve them.
To transcribe dictated messages. If you dictate a message instead of typing it, your browser converts your speech to text. Some browsers, such as Chrome, send that audio to the browser maker's servers to do this.
To comply with our legal obligations. We may process your information to comply with our legal obligations, respond to legal requests, and exercise, establish, or defend our legal rights.
To provide AI-generated patient simulations and educational feedback. We process the messages and voice recordings you submit during simulated patient encounters using automated language-model services (Google Vertex AI and the Google Gemini API) to generate the simulated patient's responses and to produce educational feedback on your performance. We also share your first name so the simulated patient can address you. We use only paid Google Cloud AI services: under Google's terms for those services, Google does not use your conversations to train or improve its AI models, although it may keep them for a limited time to detect abuse and meet legal obligations. AI feedback is advisory; your instructor decides your grade.
3. WHEN AND WITH WHOM DO WE SHARE YOUR PERSONAL INFORMATION?
In Short: We may share information in specific situations described in this section and/or with the following third parties.
Vendors, Consultants, and Other Third-Party Service Providers. We may share your data with third-party vendors, service providers, contractors, or agents ("third parties") who perform services for us or on our behalf and require access to such information to do that work. We have contracts in place with our third parties, which are designed to help safeguard your personal information. They use your personal information only to provide their services to us, except where their own terms allow limited use for security, fraud prevention, or legal compliance.
The third parties we may share personal information with are as follows:

- Security and abuse prevention

We also may need to share your personal information in the following situations:
Your Instructors and Institution. If you use the Services through an institution, the instructors, teaching assistants, and administrators in your institution's Oscelo workspace can see your name, email address, and class membership, and your work: your submissions, the transcripts and recordings of your practice encounters, your notes, and your scores and feedback.
Community Catalog. If you share a case to a community catalog, other Oscelo users can see it, along with your name and your institution's or workspace's name, and they can make their own copies of it.
Business Transfers. We may share or transfer your information in connection with, or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or a portion of our business to another company.
International Users. We store your data in the United States. Our AI providers may process the content of your encounters in other countries. If you use the Services from outside the United States, your information will be transferred to, stored, and processed in the United States, where data protection laws may differ from those in your country.
4. DO WE USE COOKIES AND OTHER TRACKING TECHNOLOGIES?
In Short: We use only the cookies and browser storage the Services need to work and stay secure.
We do not use advertising cookies, web beacons, pixels, or third-party analytics. What we store in your browser is limited to:
- your sign-in state and an app-integrity token (Firebase Authentication and Firebase App Check);
- a security cookie set by Google reCAPTCHA Enterprise, which helps us block automated abuse; and
- local storage for unsaved drafts, encounter timers, layout preferences, and the name you typed while signing up.
We do not sell or share personal information, and we do not let third parties collect information about your activity across other websites through our Services. You can refuse or remove cookies through your browser settings, as described in the section "WHAT ARE YOUR PRIVACY RIGHTS?" below, although the Services may not work without them.
5. DO WE OFFER ARTIFICIAL INTELLIGENCE-BASED PRODUCTS?
In Short: We offer products, features, or tools powered by artificial intelligence, machine learning, or similar technologies.
As part of our Services, we offer products, features, or tools powered by artificial intelligence, machine learning, or similar technologies (collectively, "AI Products"). These tools are designed to enhance your experience and provide you with innovative solutions. The terms in this Privacy Notice govern your use of the AI Products within our Services.
Use of AI Technologies
We provide the AI Products through third-party service providers ("AI Service Providers"), including Google Cloud AI, Vertex AI, and the Google Gemini API. As outlined in this Privacy Notice, your input, output, and personal information will be shared with and processed by these AI Service Providers to enable your use of our AI Products for purposes outlined in "WHEN AND WITH WHOM DO WE SHARE YOUR PERSONAL INFORMATION?" You must not use the AI Products in any way that violates the terms or policies of any AI Service Provider.
Our AI Products
Our AI Products are designed for the following functions:
Conversational AI
Natural language processing

How We Process Your Data Using AI
All personal information processed using our AI Products is handled in line with our Privacy Notice and our agreement with third parties. This ensures high security and safeguards your personal information throughout the process, giving you peace of mind about your data's safety.
6. DO WE PROCESS REAL PATIENT HEALTH INFORMATION?
In Short: No. Every patient in Oscelo is fictional, and you must not enter information about real patients.
Oscelo is a clinical-education simulation platform. All patient personas, cases, histories, examination findings, and medical data presented in or generated by the Services are fictional and created solely for educational purposes. The Services are not designed or intended to collect, store, or process real Protected Health Information ("PHI") as defined under the U.S. Health Insurance Portability and Accountability Act ("HIPAA"), and we do not knowingly do so.
Users are prohibited from entering real PHI, or real, identifiable information about any actual patient or other third party, into the Services (see our Terms of Service). Because the Services process no real PHI and do not act on behalf of a HIPAA covered entity, we are not a HIPAA "covered entity" or "business associate."
If you believe real patient information has been entered into the Services, please notify us immediately at brendanbeckstrom1@gmail.com so that we can remove it.
7. HOW DO WE HANDLE STUDENT EDUCATION RECORDS?
In Short: When a school provides Oscelo to its students, we handle their education records on the school's behalf and under its direction.
When the Services are made available to students through an educational institution, certain student data, including student identifiers and practice-encounter transcripts and recordings, may constitute "education records" under the Family Educational Rights and Privacy Act ("FERPA"), 20 U.S.C. § 1232g and 34 CFR Part 99.
We process such education records solely on behalf of and at the direction of the institution, as a "school official" with a legitimate educational interest under 34 CFR § 99.31(a)(1)(i). Specifically, we:
- perform an institutional service or function for which the institution would otherwise use its own employees;
- act under the institution's direct control, as set out in our agreement with the institution, with respect to the use and maintenance of education records;
- use education records only for the authorized purpose of providing the Services; and
- do not re-disclose education records to any other party without the institution's authorization, except to the service providers listed in "WHEN AND WITH WHOM DO WE SHARE YOUR PERSONAL INFORMATION?" that help us run the Services, or as required by law.
We do not sell student education records, and we do not use them for targeted advertising.
The institution remains responsible for its obligations under FERPA. Students wishing to inspect, review, amend, or request deletion of their education records should direct those requests to their institution, and we will support the institution in fulfilling them.
8. HOW LONG DO WE KEEP YOUR INFORMATION?
In Short: We keep your information for as long as necessary to fulfill the purposes outlined in this Privacy Notice unless otherwise required by law.
We will only keep your personal information for as long as it is necessary for the purposes set out in this Privacy Notice, unless a longer retention period is required or permitted by law (such as tax, accounting, or other legal requirements). No purpose in this notice will require us keeping your personal information for longer than the period of time in which users have an account with us, with one exception: if you buy a paid plan, we keep a record of your agreement to its automatic renewal terms for three years, even after you delete your account, because consumer protection law requires it.
When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymize such information, or, if this is not possible (for example, because your personal information has been stored in backup archives), then we will securely store your personal information and isolate it from any further processing until deletion is possible.
9. HOW DO WE KEEP YOUR INFORMATION SAFE?
In Short: We aim to protect your personal information through a system of organizational and technical security measures.
We have implemented appropriate and reasonable technical and organizational security measures designed to protect the security of any personal information we process. However, despite our safeguards and efforts to secure your information, no electronic transmission over the Internet or information storage technology can be guaranteed to be 100% secure, so we cannot promise or guarantee that hackers, cybercriminals, or other unauthorized third parties will not be able to defeat our security and improperly collect, access, steal, or modify your information. Although we will do our best to protect your personal information, transmission of personal information to and from our Services is at your own risk. You should only access the Services within a secure environment.
10. DO WE COLLECT INFORMATION FROM MINORS?
In Short: We do not knowingly collect data from or market to children under 18 years of age.
We do not knowingly collect, solicit data from, or market to children under 18 years of age, nor do we knowingly sell such personal information. You must be at least 18 to use the Services. If we learn that personal information from users less than 18 years of age has been collected, we will deactivate the account and take reasonable measures to promptly delete such data from our records. If you become aware of any data we may have collected from children under age 18, please contact us at brendanbeckstrom1@gmail.com.
11. WHAT ARE YOUR PRIVACY RIGHTS?
In Short: You may review, change, or terminate your account at any time, depending on your country, province, or state of residence.
Withdrawing your consent: If we are relying on your consent to process your personal information, which may be express and/or implied consent depending on the applicable law, you have the right to withdraw your consent at any time. You can withdraw your consent at any time by contacting us by using the contact details provided in the section "HOW CAN YOU CONTACT US ABOUT THIS NOTICE?" below.
However, please note that this will not affect the lawfulness of the processing before its withdrawal nor, when applicable law allows, will it affect the processing of your personal information conducted in reliance on lawful processing grounds other than consent.
Account Information
If you would at any time like to review or change the information in your account or terminate your account, you can:
Contact us using the contact information provided.
Log in to your account settings. There you can change your password, and if you created your own account you can delete it. To change your name or email address, email us.
Upon your request to terminate your account, we will delete your account and the information associated with it, including your recordings, the files you uploaded, and anything you shared to a community catalog. Copies of shared content that other users already made stay with them, and we keep the record of your agreement to a paid plan's renewal terms for three years. However, we may retain some information in our files to prevent fraud, troubleshoot problems, assist with any investigations, enforce our legal terms and/or comply with applicable legal requirements.
Cookies and similar technologies: Most Web browsers are set to accept cookies by default. If you prefer, you can usually choose to set your browser to remove cookies and to reject cookies. If you choose to remove cookies or reject cookies, this could affect certain features or services of our Services. For further information, see the section "DO WE USE COOKIES AND OTHER TRACKING TECHNOLOGIES?" above.
If you have questions or comments about your privacy rights, you may email us at brendanbeckstrom1@gmail.com.
12. CONTROLS FOR DO-NOT-TRACK FEATURES
Most web browsers and some mobile operating systems and mobile applications include a Do-Not-Track ("DNT") feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. At this stage, no uniform technology standard for recognizing and implementing DNT signals has been finalized. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked online. If a standard for online tracking is adopted that we must follow in the future, we will inform you about that practice in a revised version of this Privacy Notice.
California law requires us to let you know how we respond to web browser DNT signals. Because there currently is not an industry or legal standard for recognizing or honoring DNT signals, we do not respond to them at this time.
13. DO UNITED STATES RESIDENTS HAVE SPECIFIC PRIVACY RIGHTS?
In Short: If you are a resident of California, Colorado, Connecticut, Delaware, Florida, Indiana, Iowa, Kentucky, Maryland, Minnesota, Montana, Nebraska, New Hampshire, New Jersey, Oregon, Rhode Island, Tennessee, Texas, Utah, or Virginia, you may have the right to request access to and receive details about the personal information we maintain about you and how we have processed it, correct inaccuracies, get a copy of, or delete your personal information. You may also have the right to withdraw your consent to our processing of your personal information. These rights may be limited in some circumstances by applicable law.
